¿Role Description
We are seeking a reliable, detail-oriented, and organized professional to join our team as a Medical Records Specialist. This vital role supports our healthcare practice by maintaining the highest standards in medical recordkeeping, compliance, and patient information security. You will work alongside our clinical and administrative teams to ensure the accuracy, integrity, and confidentiality of all patient records, delivering exceptional service to patients and staff alike.
Medical Records Responsibilities – Health Information Management, Digital Recordkeeping, and Compliance
- Accurately create, maintain, and update patient medical records in both electronic health record (EHR) systems and paper files as required.
- Review and verify patient information to ensure all documentation meets regulatory standards and organizational protocols.
- Retrieve, release, and transmit medical records in accordance with HIPAA laws and internal guidelines for record security and privacy.
- Assist clinicians and administrative staff by locating, copying, and distributing medical records and related information as requested.
- Conduct periodic audits of health records for completeness, accuracy, and compliance with health information policies.
- Scan, index, and archive incoming documents, including lab reports, referrals, and correspondence, into appropriate patient files.
- Respond promptly to patient and third-party requests for records, following established release of information procedures.
- Collaborate with billing and insurance teams on record verification to support claims processing and authorizations.
- Maintain up-to-date knowledge of legal requirements, industry trends, and best practices in medical records management.
- Support additional administrative and clerical projects as needed within the healthcare team.
Medical Records Qualifications – EHR Proficiency, Attention to Detail, and Healthcare Compliance
- Experience working with electronic health record (EHR) systems or health information technology in a medical setting is strongly preferred.
- Solid understanding of HIPAA regulations and commitment to patient privacy and confidentiality at all times.
- Strong organizational and recordkeeping abilities with high attention to detail and accuracy.
- Excellent written and verbal communication skills for clear documentation and interdepartmental collaboration.
- Ability to handle sensitive information discreetly and comply with all privacy requirements.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to prioritize multiple requests, manage time effectively, and adapt to changing healthcare needs.
- Demonstrated initiative, problem-solving skills, and a proactive approach to tasks.
- Experience in medical office administration, medical billing, or healthcare support roles is an advantage.
