Financial Auxiliary
The Financial Auxiliary is responsible for supporting the company’s financial and administrative operations, ensuring the accurate management of contracts, invoicing, and payment follow-ups.
This role involves regular interaction with clients and internal teams to maintain efficiency, compliance, and accuracy in financial processes.
Responsibilities
Draft, review, and organize contracts, ensing accuracy and compliance with courmpany standards.
Serve as the main point of contact for clients regarding current and outstanding payments.
Collect initial payments and follow up on upcoming and overdue accounts in a timely manner.
Conduct professional phone calls and emails to address payment inquiries and negotiate payment arrangements.
Create and issue invoices accurately within the financial system.
Verify invoice details, including pricing, terms, and deadlines, in coordination with attorneys and operational staff.
Monitor contract status and ensure timely signatures and adherence to agreed terms.
Track and manage payment schedules to reduce overdue accounts.
Organize, maintain, and secure financial records (contracts, invoices, and related documents) for auditing and reference purposes.
Requirements
Bachelor’s degree in Finance, Business Administration, or a related field (preferred).
Prior experience in contract management, accounts receivable.
Proven ability to handle sensitive financial information with a high level of trust and confidentiality.
Experience in a legal environment is a plus.
Proficiency in both Spanish and English.
Previous experience in a finance-related or administrative role is an advantage.
Strong proficiency in Microsoft Excel.
Experience with accounting software (QuickBooks, SAP, or similar).
Strong customer service skills.
Excellent organizational and time management abilities.
High attention to detail and accuracy in data entry and record-keeping.
Strong communication skills and ability to work effectively in a team.
Basic understanding of financial principles and practices.
