Intake Specialist
As the first point of contact for new clients, your role will be essential in setting a positive tone for our service while gathering critical information and ensuring an exceptional client experience
Intake Specialist Responsibilities
- Serve as the first point of contact for prospective clients via phone, email, and online platforms.
- Conduct detailed intake interviews to collect required personal, legal, or medical information, depending on client needs.
- Accurately document all client information in our intake management system, maintaining data privacy and confidentiality.
- Evaluate client inquiries to determine eligibility or next steps and route cases to appropriate departments or professionals.
- Provide clear and empathetic information about our services, process, timelines, and address any client questions.
- Coordinate follow-ups and ensure timely communication between clients and team members.
- Handle sensitive or urgent situations calmly and professionally; escalate complex issues as needed.
- Support administrative tasks related to intake, including appointment scheduling, file creation, and record maintenance.
Intake Specialist Qualifications – Skills, Experience, and Requirements
- High school diploma or equivalent; associate’s degree or higher in a relevant field (such as social work, legal studies, or healthcare) is preferred.
- 1+ years of experience in client service, intake, call center, administrative, or related roles.
- Strong interpersonal, written, and verbal communication skills.
- High level of organization, time management, and multi-tasking abilities.
- Demonstrate experience in handling confidential information with professionalism and discretion.
- Proficiency with office software (Microsoft Office, Google Workspace) and learning new digital tools quickly.
- Capacity to remain compassionate, patient, and solution-oriented in all client interactions.
- Bilingual skills are a plus.
