Legal Assistant

As a Legal Assistant, you will play a critical role in case management, ensuring that medical records, treatment updates, and client communications are accurate and timely. You will support attorneys in building strong cases by maintaining detailed records, tracking client progress, and coordinating with medical providers. This role offers opportunities for professional growth, including training in legal procedures, client advocacy, and case strategy.
Responsibilities
Conduct client intake and gather essential information to evaluate case eligibility.
Obtain, review, and track medical records, bills, therapy notes, and itemized statements from hospitals, providers, and clinics.
Maintain detailed treatment tracking logs and update case management software (e.g., Filevine, Clio, Needles, SmartAdvocate) with client progress and appointments.
Monitor clients’ medical treatment plans, identify gaps, and notify the legal team if clients stop treatment or miss appointments.
Communicate professionally with clients, medical providers, billing departments, and insurance carriers to ensure smooth case management.
Assist attorneys by preparing case documents, organizing evidence, and verifying information for filing and litigation.
Ensure compliance with HIPAA and other privacy regulations, maintaining confidentiality of sensitive legal and medical information.
Support day-to-day administrative tasks, including scheduling appointments, document preparation, and managing correspondence.
Collaborate with team members to improve workflows and implement best practices in case tracking and client communications.
Qualifications
Minimum 2–3 years of experience as a Legal Assistant, Virtual Assistant, or Medical Records Coordinator, preferably in personal injury law.
Familiarity with New Jersey personal injury cases, medical treatment workflows, and legal documentation.
Experience with Filevine or similar legal case management software.
Bilingual communication skills (Spanish, English, Arabic) are a plus.
Strong written and verbal English communication skills.
Proficiency with Microsoft Office, Google Workspace, and PDF management tools.
Excellent organizational, analytical, and follow-up skills.
Ability to work independently onsite while managing multiple priorities.
