Medical Back Office

We are seeking a detail-oriented and highly organized Medical Back Office Specialist to join our growing healthcare team. This role plays a key part in supporting clinical operations by ensuring accurate documentation, smooth administrative workflows, and a patient-centered experience.
Responsibilities
Prepare, update, and maintain patient medical records while ensuring accuracy, compliance, and confidentiality.
Coordinate appointment scheduling, patient check-in, and check-out processes to support efficient daily operations.
Assist clinical staff with patient files, diagnostic reports, referrals, insurance documentation, and related administrative tasks.
Communicate with insurance providers, laboratories, and external healthcare partners regarding claims, authorizations, and medical record requests.
Support process improvements and contribute to the implementation of digital tools to enhance record management and office efficiency.
Participate in team meetings, training sessions, and ongoing professional development activities.
Serve as a point of support for patients and care teams, delivering professional, empathetic, and timely assistance.
Promote a collaborative, inclusive, and patient-focused healthcare environment.
Qualifications:
High school diploma or equivalent required; associate’s degree or certification in Medical Office Administration preferred.
At least 1 year of experience in a medical back office, healthcare administration, or medical office assistant role is preferred.
Proficiency in office software (Microsoft Word, Excel, email) and familiarity with standard medical office equipment.
Strong organizational skills with exceptional attention to detail and the ability to handle confidential information.
Excellent verbal and written communication skills with a professional and empathetic approach.
Ability to multitask, prioritize responsibilities, and maintain accuracy in a fast-paced healthcare setting.
Team-oriented mindset with a willingness to support providers, patients, and colleagues.
Bilingual or multilingual skills are a plus but not required.
Adaptable, solution-oriented, and motivated to contribute to continuous improvement in healthcare operations.
